Sales Tax Policy

State and local sales tax rates are generally determined by the shipping address of an order, though billing address and the selling company's origin may also influence taxability.

State laws require HCPro / DecisionHealth to have an active exemption certificate from all customers who claim a tax exemption. If the exemption certificate is not received or has expired, HCPro is required by law to charge tax in all US States and the District of Columbia except for state and local jurisdictions that do not assess sales taxes.

If your business qualifies for a sales tax exemption, a proper exemption certificate in .pdf format for each taxable jurisdiction must be submitted to HCPro / DecisionHealth in advance of completing an order. A HCPro / DecisionHealth representative will review your certificate and email you only if the certificate received is incomplete with a description of the missing information. 

  • HCPro / DecisionHealth will review your company name, address and email address associated with your customer profile to determine if it matches the Company of the exempt certificate submitted.
  • The exemption certificate should match the company name and jurisdiction of the applicable billing and/or shipping address of the sales order to receive a tax exemption.
  • Documents such as IRS letters, W-9's and state issued permits/licenses are not acceptable forms to claim a tax exemption. Provide your state issued number (ex. Tax ID, Exemption Number, etc.) on a valid exemption certificate.
  • Submitted certificates must be complete in entirety, including signatures on the government issued certificate where required.
  • Upon expiration, you are responsible for resubmitting active certificate(s).

Sales tax will be assessed on all guest-checkout orders. Sales tax on orders while logged into your customer account will be adjusted based on the certificate if "accepted" prior to the order invoicing and if in an active status. For pre-payments, the order invoices at the time of order.

To submit a Tax Exemption Certificate, navigate to your My Account page. Follow the Submit Tax Exemption process. Allow 3 days to process certificates. Tax exemption on orders for only active, approved certificates. Rejection email sent only if certificate is not accepted.
